Availability All Editions
The List displays project data in a clear grid view. You can use it, for example, to quickly identify projects that need action before your next meeting. In the article Editing Projects in the List (View), you will learn how to edit specific projects details directly in the view.
Where to Find
In the left-hand sidebar, click List to open the view:
Control which projects are shown by selecting a Date Range, Portfolio or Scenario in the black header bar at the top of your screen.
The list displays all projects and their details that correspond to the selected custom view.
The allocation unit is inherited from whatever setting is saved in the custom Portfolio Designer view.
Toolbar
In the toolbar, you can add projects, search for project names or project keys, create filters, configure the columns for your view or save an Excel file of your view.
Information Panel
Click one of the icons in the right sidebar to open the Information Panel. When you select a project, you can find its Overview, Change Log, Comments and Jira details there.
How to Configure
Filter Your Projects
To filter the List for projects with certain values, click Filter:
You can select from the following fields:
- All custom fields of the Single-select type, e.g., Status
- All custom fields of the Multi-select type
- All custom fields of the Checkbox type, e.g., Need for Decision
- All custom fields of the Resource type, e.g., Deputy Project Manager
- Top level OBS units, e.g., department
- Project Manager
- Business Goal
- Rank Category
- Project Type
- Connected Tool
- Deviation Status Compared to Connected Tool
You can use several filters at the same time to further limit the results. Learn more in the Ad-Hoc Project Filter article.
Configure Your View
Click Configure Columns on the top left to open a dialog to choose which columns you want to see and in which order.
When adding columns, you can choose from the following:
- All project fields for which you have at least read-only rights (system fields and custom project fields)
- Financial Key Indicators (e.g., Planned Benefit, Planned Total Costs), displayed in the currency set in the left Sidebar under Manage > AdvancedProPremium
- All Actuals key figures from this listProPremium
- Financial key figures from this listProPremium
- Top level OBS units
- The program name
- Last Changed
- Percentage of Completion
- Project Type
- Connected Tools Data
You need to select at least one field as a column to be able to save the configuration. You can adapt the width of the columns by using drag and drop.
You can also change the order of the columns by dragging and dropping them in your preferred order.
Milestones and financial events are not available in the List.
Sort Your Projects
Click on a column's name to sort your projects. Columns such as the project name are sorted alphanumerically. Columns containing details from project fields of the single-select and multi-select type (such as Stage Gate) are sorted by the order of their options. Administrators manage these values under Manage > Custom Project Fields.
Save Your Configuration as a Custom View
You can save every configuration of the List as a Custom View. Click the custom view name next to the title List to select a different view or add a new view. To edit the view name or delete the view, click the three dots next to the view name. Depending on your user rights, you can also define access rights to the view for users and user groups.

Exporting the List
If you have the Export Data user right, you can export your configured List by clicking Export to Excel in the toolbar.
If you export the field Last Changed, it may be that the time of the last change is missing from the Excel file. To fix this, configure the date and time settings in your Excel program to show both the date and the time.
