Main Differences Between Users and Resources
Users | Resources | |
System Access and Interactivity |
Users can log in and interact with Meisterplan. They cannot be assigned to projects unless linked to a resource. |
Resources are managed within the system (e.g., assigned to projects or teams) but do not interact with it directly unless linked to a user. |
Licensing and Costs | Number of users does not affect licensing costs. | Number of resources has a direct impact on the licensing fees. |
Adding and Editing | Under Manage > Resources | In the Resource Pool |
Removing | You can either deactivate or delete a user | You can either delete a resource or remove them from planning by using the Termination Date field. |
What is a User?
A user in Meisterplan has a user account and can log in to Meisterplan to view, edit and manage projects and resources. Users are essentially the people who work with and in Meisterplan and view, edit or analyze data in it.
You can create an unlimited number of user accounts without requiring a change in your license.
Key Characteristics of Users
Depending on their user rights, users can view and edit data in Meisterplan and create analyses to evaluate past and present data. By assigning users to user groups, you can grant them specific rights and permissions to define what actions they can perform and which data they can access within the system. Learn more about user permissions in the article Manage User Groups.
How to Add Users in Meisterplan
Users can be added manually under Manage > Users or automatically via auto-provisioning (only with Premium Editions).
Learn more about manually adding and configuring users in the article Manage Users. To learn more about auto-provisioning users, see the article Auto-Provisioning Users with Meisterplan.
What is a Resource?
In Meisterplan, a resource is usually a person who can be assigned to projects or teams, whether they are part of the organization or external. It is also possible to add other project-relevant resources such as machines or equipment in Meisterplan to take their availability into account during planning. Each resource has specific skills, availability and roles that can be managed in Meisterplan to ensure optimal project execution. You can also maintain data such as department affiliation and location for resources.
Key Characteristics of Resources
- Assignable to projects and teams: Resources can be allocated to various projects and teams based on their skills, roles, and availability, allowing for effective capacity planning.
- License fees: The number of resources in your Meisterplan system is a critical factor, as license fees are based on this number. This is because resources directly impact the scale and usage intensity of the Meisterplan system within an organization. Learn more about the calculation of license fees in the article Licensing & Pricing.
How to Add Resources in Meisterplan
Resources can be added manually in the Resource Pool, or by importing through various options such as the Quick Import for Resources or automations by Power Automate or Zapier. Find more details in the article Resource Pool - Resources.
Linking Users and Resources
Linking a user to a resource within Meisterplan is a simple yet powerful action that allows Project Managers and Resource Managers to use the "Logged-In User" filter to directly view their own projects, or roles and resources respectively. It also allows users linked to resources to see all projects they are assigned to in the My Schedule view and enter their actual time worked. Learn more about the benefits of linking users and resources in the article Configuring User Accounts.
To link a user to a resource, go to Manage > Users. Hover over a user and click the pencil icon, then select the appropriate resource from the dropdown under Linked Resource.
