What is Zapier?
Zapier is an online tool that lets you connect more than 2,000 web apps, such as Trello or Excel, with Meisterplan. Without any coding skills, you can create an automated connection, a so-called "Zap", between two apps with only a few clicks.
A Zap automates your day-to-day tasks such as sending resource absences to Meisterplan or bringing in new project initiatives.
To do this, you need to have the Access Meisterplan APIs and Connect External Applications right.
Get Started
Sign up at zapier.com and create your first Zap. Select a trigger from Meisterplan or one of your tools and at least one following action in one of your tools or Meisterplan.
You can select from the following Meisterplan triggers and actions in Zapier:

To do this, you first need to connect your Meisterplan system and any tools that you want to use with Meisterplan to Zapier. You can learn more about how to link Meisterplan to Zapier here.
Using Meisterplan and Zapier
Get Notified About Project Changes
Receive a notification, for example, by Outlook email, whenever projects within a specified scenario are changed.
To do this, select the following Meisterplan trigger in Zapier:
- Any Project Activity
Updating Project Information
Make changes to projects like updating the status of a project in a project management tool like Trello and the status of the corresponding project in Meisterplan is automatically updated.
To do this, select the following Meisterplan actions in Zapier:
- Update Project
- Find Project (locates an existing project): If you add Find Project as an additional action to your Zap, you do not need to specify which project should be updated. Instead, Zapier searches for the corresponding project name in Meisterplan as soon as you update a project in your tool. This allows you to update many projects with one Zap.
Syncing Allocations
Edit your allocations in an online spreadsheet such as MS Excel, and the corresponding allocation in Meisterplan ist automatically created or updated.
To do this, select the following Meisterplan actions in Zapier:
- Update Allocation
- Find a Resource or Role (locates an existing role or resource): If you add Find a Resource or Role as an additional action to your Zap, you do not need to specify which role or resource should be updated. Instead, Zapier searches for the corresponding email address (resource) or name (role) in Meisterplan as soon as you update an allocation in your tool. This allows you to update many allocations with one Zap.
Keeping Your Resource Absences up to Date
Approve a time-off request from one of your employees in an online spreadsheet like Excel, and the corresponding resource entry in Meisterplan is automatically updated.
To do this, select the following Meisterplan actions in Zapier:
- Update Resource Absence
- Find Resource by Email (locates an existing resource): If you add Find Resource by Email as an additional action to your Zap, you do not need to specify which resource should be updated. Instead, Zapier searches for the corresponding resource name in Meisterplan as soon as you update a resource absence in your tool. This allows you to update many resources with one Zap.
Adding New Projects to Meisterplan
Add a new project in one of your tools (like Zoho Projects), and a new project is automatically created in Meisterplan.
To do this, select the following Meisterplan actions in Zapier:
- Create Project
Adding New Resources to Meisterplan
Update your online spreadsheet with new employees, and they are automatically added to the Meisterplan resource pool.
To do this, select the following Meisterplan actions in Zapier:
- Create Resource
Regularly Updating Employee Data
If you change a resource's address in your online spreadsheet, the corresponding resource entry in Meisterplan is automatically updated.
To do this, select the following Meisterplan actions in Zapier:
- Update Resource
- Find Resource by Key (locates an existing resource): If you add Find Resource by Key as an additional action to your Zap, you do not need to specify which resource should be updated. Instead, Zapier searches for the corresponding resource in Meisterplan as soon as you update resource data in your tool. This allows you to update many resources with one Zap.
