Availability: Some of the features described in this article are only available in the Pro and Premium Edition.
This article describes how projects are ranked and how to determine the ranking automatically based on the priority score and manually based on the order in the project section of the Portfolio Designer view.
Rank
In the Project and Program Rights section of your user group, you need to have the Change Project Rank right enabled to change the rank.
In Meisterplan, each project and each program has a rank that can be displayed in several views. The rank corresponds to the order of projects and programs in the Projects by Priority list in the Portfolio Designer:
The rank determines in which order workload is assigned to roles and resources allocated to projects. Allocations to projects with a higher rank come first and are on a lower level of the allocation stack than projects with a lower rank.
Projects in programs receive their own rank based on the order of their position in the program.
You can change the rank of single or multiple projects by ranking them by priority score (also single projects) or dragging and dropping projects to a higher or lower position.
The rank is scenario- and portfolio-dependent which means that it is only valid for the current filter of your view. Find details on the effect of rank changes across different portfolios here.
Displaying the Rank
You can display the rank in the following views by adding the field to the configuration:
- Project Details: the Priority Score section displays the project's current rank as well as the rank the project should have according to its score.
- List
- Board View
The rank displayed in all of these views always corresponds to the project order in the Portfolio Designer.
Priority Score
Availability Pro Premium
Instead of ranking projects manually, you may also use the priority score to automatically rank projects based on pre-defined score contributions in project fields such as Strategy Fit or Stage Gate.
You can display the priority score in several views.
Required User Rights
To use the priority score, your user group needs to have the following rights enabled:
- To enter priority score contributions for single-select values, you need the Read and Edit right enabled for the respective project field in the Project Field Rights section.
- To sort part or all of the projects in the Portfolio Designer by priority score, users need to have the Rank & Sort All Projects by Priority Score right in addition to the Change Project Rank right in the Project and Program Rights section.
- Users also need to have edit rights for the active scenario or Plan of Record.
Calculating the Priority Score
To calculate priority score by objective criteria, you can define the project score contribution in the single-select options of all project fields of the Single-select type as well as in the Status field.
The priority score of a project is the sum of all priority score contribution of its single-select options.
To enter priority score contributions for single-select options, click Manage in the Sidebar and select Custom Project Fields.
Priority scores will be displayed when at least one priority score contribution has been defined for any single-select option.
Displaying the Priority Score
You can display the priority score in the following views by adding it to the configuration:
- Project Details: includes composition of the priority score
- List
- Project Overview
- Board View
Priority Score for a Program
A program will automatically assume the highest priority score of the projects it contains. You can see the priority score of a program in the Program Overview.
Reordering a Single Project or Program by Priority Score
Portfolio Designer
With the Rank by Priority Score context menu option, you can assign a single project or program its rank by priority score, which is displayed in the Priority Score tab of the Project Details view.
This is always available but only takes effect when the selected project or program doesn't already have the rank derived from its priority score.
List
Move your cursor over the respective project and click the three dots at the end of the line. Next, select Rank Project by Score:
This option is always available but only takes effect when the selected project is not ranked according to its priority score.
Ranking and Sorting the Projects by Priority Score
In the Portfolio Designer's toolbar, click More Actions and select the Sort by Priority Score option from the dropdown menu.
The projects will be sorted by their priority score, including projects below the cut-off line.
If two projects have the same score, then sorting takes into account the previous rank.
Please note that this operation cannot be undone automatically.
Deactivate Priority Score for All Users
Users need to have the Manage Project Fields, Project Settings, Project Overview and Advanced right to deactivate the priority score.
If your organization does not work with priority scores, you can disable this function for all of your Meisterplan users. Simply remove the Priority Score section from your project settings. See the Configuring Project Settings article for details.
If there is a priority score contribution in a project field, the words "Priority Score Relevant" are added to the project field name:
To remove this, delete all priority score contribution for project fields of the single-select field type:
Step 1: Click Manage on the left sidebar, and then select Custom Project Fields:
Step 2: Click on the pencil icon that appears when you move your cursor over an entry in the field list:
Step 3: Move your cursor over an entry in the list of Options and click the Priority Score Contribution field:
Step 4: Delete the values in the Priority Score Contribution fields and confirm by clicking Apply.
