Pro and Premium Editions of Meisterplan (including trial systems) contain features that are not available in Basic editions (find a full overview here). When you switch from one of these to the Basic Edition, you will lose some functionalities and views. In this article, we will show you how to back up your data from these features before downgrading.

How to Back Up Scenario Data
Scenarios enable you to try out planning options with different timing or staffing without affecting the Plan of Record. Data such as allocations, milestones or role capacities are scenario-dependent. After downgrading, only the data in the Plan of Record will remain.
Export Scenario Data Using the Export to Excel
An easy-to-use option for backing up data from a scenario is the Export to Excel. For each scenario that you want to back up, simply follow these steps:
- First, select the date range, the portfolio and the scenario you want to export in the header:
- In the left sidebar, click Import and Export:
- Next, you can choose if you want to export all data or only certain data types:
Repeat these steps for each scenario that you would like to export and save the files to your computer. You can always import data from the Excel files into the Plan of Record using our Quick Imports.
Replace Plan of Record with Scenario
If the data in one scenario is the data you want to continue with in Meisterplan, you can simply replace the entire Plan of Record with the data from this scenario.
Follow these steps to replace the Plan of Record:
- In the Portfolio Designer, select Manage Scenarios in the header menu:
- In the Scenario Manager, select the scenario you want to copy to the Plan of Record and then click Replace Plan of Record with Scenario:
The data in the Plan of Record will be completely replaced by the data of the scenario you selected.
Export Scenario Data Using the Reporting API
The Reporting API is an interface that lets you transfer Meisterplan data into other tools, for example, MS Excel. Using the Reporting API requires more steps than the Export to Excel, but allows you to export additional data such as internal IDs which are relevant for detailed reporting and further processing.
To export your scenario data with the Reporting API, follow the steps described in the Reporting API - Preparing Reports in Microsoft Excel article.
How to Back Up Actuals Data
With Actuals, you can compare project plans with actual performance directly in Meisterplan. After downgrading to the Basic Edition, Actuals data including figures calculated by comparing Actuals and planned allocation data will no longer be available in Meisterplan.
Export Actuals Data Using the Project List
To back up your Actuals data, you can download the data in the Project List. In the Project List, the Actuals data is only available added up per project, not per resource or role.
Follow these steps to configure the relevant columns and export the list:
- In the left Sidebar, click Project List and select the date range, the portfolio and the scenario you want to export in the header:
- In the toolbar, click Configure Columns and select all Actuals fields as columns:
- Next, click Export to Excel:
Export Actuals Data Using the Reporting API
The Reporting API is an interface that lets you transfer Meisterplan data into other tools, for example, MS Excel. Using the Reporting API requires more steps than the Project List export, but allows you to export additional data such as Actual Time Worked per resource or role and for the date range specified which allow a more detailed reporting and further processing.
To export your Actuals data with the Reporting API, follow the steps described in the Reporting API - Preparing Reports in Microsoft Excel article.
How to Back Up Financials Data
In Meisterplan, you can manage financial data such as actual allocation costs, planned net value and financial events per project. After downgrading to the Basic Edition, this information will no longer be available.
Export Financial Events Using the Export to Excel
The Export to Excel allows you to export the financial events of all projects within the specified scenario, portfolio and date range. To back up your financial events, simply follow these steps:
- First, select the date range, the portfolio and the scenario in the header:
- In the left sidebar, click Import and Export:
- In the next step, select Financial Events from the list:
Export Financials Data Using the Project List
The Excel export in the Project List allows you to export financial key figures added up per project, such as Allocation Costs Total or Planned Net Value. Follow these steps to export the data:
- In the left Sidebar, click Project List and select the date range, the portfolio and the scenario you want to export in the header:
- In the toolbar, click Configure Columns and select all financial key figures as columns:
- Next, click Export to Excel:
Backing Up Data Using the REST API
If you are using the REST API to read or update data, you can use it to export your data into you preferred tool or format before downgrading to the Basic Edition.
