Availability All Editions
When it comes to changing the plans you have for your organization's roles and resources, you have different options in Meisterplan to implement these changes without having to start from zero.
General
In the Portfolio Designer, when selecting an allocated role or resource, you will see the following options to edit the allocation in the context menu:
- Staff Role (only for roles): assigns the role allocation to one or more resources
- Replace Role (only for roles): reassigns the role allocation to one or more other roles

Replace Resource (only for resources): reassigns the resource allocation to one or more other resources
- Unstaff to Role: unassign the resource allocation back to the relevant project role
- Change Project Role (only for resources)
- Remove from Project (for both roles and resources)
You can find the same options in the Team Planner and the Allocations Tab of the Project Details (here, you do not have the ability to Staff Role).
Required User Rights
To edit role and resource allocations, you need the following user rights:
- Edit rights for the selected scenario and/or the right Edit Plan of Record
- Either, in the Project and Program Rights section, Resource Managers Can Always Edit Allocations of Their Own Roles and Resources
- Or, in the Detailed Project and Program Rights Section, under Edit Allocations, at least the option Role Allocations
Staff Role
If you've planned a project's allocations on the role level, Meisterplan helps you find the right resources to allocate the role's efforts to.
In the Portfolio Designer, click the three dots after the name of the role and select Staff Role:
The Staff Role mode will open. In the top left, the project and the role with the to-be-allocated effort is displayed. Underneath, you will find a list of all of the resources with this role set as their primary role, sorted according to their available capacity.

Replace Role
Do you have to change your plan and put on a Junior on a project that was originally planned with a Senior in order to save costs? With Replace Role, you can reassign a role allocation either partially, or in its entirety, to other roles.
In the Portfolio Designer or the Project Details, click on the three dots after the name of the role and select Replace Role:
A dialogue will open that displays a list of all roles, including their available capacity during the project:
At the top of the dialogue, you can choose whether you want to replace the entire allocation, only the overallocation or a percentage of the allocation.
Move your mouse over an available role to be shown how allocating this role would affect their capacity if you were to select them.

Replace Resource
Do you have a bottleneck resource and want to know if there are other resources who are available during the project? With Replace Resource you can see who is available and reassign a resource allocation entirely or partially to one or more resources.
In the Portfolio Designer or the Project Details, click the three dots after the name of the resource and select Replace Resource:
A dialogue will open that displays a list of all resources with the same role, including their available capacity and skills:
The displayed resources are sorted according to their capacity during the project. Only the needed capacity is displayed; this means that, for example, if you need to replace a resource on 40 hours of allocation, even resources with more than 40 hours of available capacity will only show 40 hours of capacity.
At the top of the dialogue, you can choose whether you want to replace the entire allocation, only the overallocation or a percentage of the allocation. The option to replace only the overallocation is not available in the Flex Mode of the Portfolio Designer.
Move your mouse over an available role to be shown how allocating this role would affect their capacity if you were to select them.

Unstaff to Role
Do you have to replace a resource, but you don't know with which resource yet? With Unstaff to Role, you reassign the resource allocation back to the relevant project role. With Staff Role, you can then allocate the appropriate resources.
Click on the three dots after the resource's name and select Replace Resource. Then, underneath the search bar, select the displayed project role under Unstaff to Role.
Change Project Role
When a resource works on a project in a role that is not their primary role, you can quickly adjust their project role. Click the three dots after the resource's name and select Change Project Role. A dialogue will open in which all roles, besides the primary role of the resource, are displayed:
Once the project role has been changed, you can once more add the resource to the project. A resource can be added to a project multiple times as long as they have multiple, different, project roles.
If a resource is allocated to a project with two different project roles, and one of the project roles changes to the other, the allocation values will be added.
Example: Sophie Aaron is allocated to a project twice; once as a junior consultant with 0.5 FTE, and once to the project as a a senior consultant with 0.2 FTE. If the allocation with the project role senior consultant is changed to an allocation with the project role junior consultant, Sophie Aaron will only be allocated to the project once as a junior consultant with 0.7 FTE.
Remove from Project
If you would like to remove a role or resource's allocation from a project entirely, click on the three dots after the name and select Remove from Project:
If actual time worked has already been entered for this role or resource manually or via import, these actuals will remain in the system and can be seen and edited in the Allocations Tab of the Project Details under Actual Time Worked.
