In this video we will show you the basics of how the Quick Import works, using the project import as an example:
Prerequisites
Required User Rights
For importing capacities as described in this article, you need to have the following rights:
- To import capacities into the Plan of Record, you need to have the Edit Plan of Record right; to import them into a scenario, you need to have the edit rights for that respective scenario
- Import Data
- Edit Resource Pool, Absences, OBS, Calendar and Skills
Supported Formats
For the quick import, you can simply copy data and paste it into Meisterplan. You can therefore use all file formats in which you can copy data.
Where to Find
In the left Sidebar, click Import and Export:
If you would like to import your role capacities into a different scenario than the one currently selected, switch to that scenario by clicking Scenario or Plan of Record in the top left of the header:
Choose Type of Data and Prepare
Click Role Capacities and then Start Import:
You can add new role capacities and update existing ones with this import. Find a detailed overview of when role capacities can be updated here.
Download Example Spreadsheet
If you don‘t have a spreadsheet of capacities on hand, download our example spreadsheet of role capacities. This example serves as an outline for configuring your capacity related data. You can also use the example spreadsheet to run a test import in your Meisterplan system.
To successfully import your capacities, your spreadsheet should contain one line per capacity, and a column for each data field you would like to import.
Fields That Can Be Imported
- Role Name: name of existing project
- Capacity Change: capacity change in FTE, hours or person days; for the correct format see here
- Start: start date of the capacity; for the correct format see here
- Finish: finish date of the capacity; for the correct format see here
Importing Several Capacities per Role
You can import several capacity segments for the same role, but their time periods must not overlap. A capacity segment may not be less than the duration of one week.
Date and Number Formatting
In the Date and Number Formatting for Quick Imports article, you can find all details on how to format dates and numbers in your spreadsheet to ensure they are imported correctly.
Step 1: Copy & Paste
Copy the desired data from your spreadsheet and paste the data in Meisterplan (e.g., using CTRL+V). In this step, you can copy and paste different data as often as needed.
Step 2: Assign Fields
If your imported column name matches an existing field in Meisterplan, Meisterplan will assign it automatically. If you’d like to change or add a field assignment, just drag and drop the Meisterplan field to the desired location. This step ensures your spreadsheet data maps to the appropriate Meisterplan field.
If your spreadsheet contains columns that cannot be matched with Meisterplan fields, they will simply be ignored and the data from the unassigned columns will not be imported.
Step 3: Validate & Edit
Validation and Error Correction
In this step, you can validate and edit your role capacities before import. Simply edit the highlighted field by clicking on it. Fields highlighted in dark red indicate an error that will prevent the complete line (i.e., the capacity) from being imported.
Once you’ve corrected all errors, click Import. Your data is now available in Meisterplan.
Update Existing Role Capacities
Exact Matching of Roles
Importing new and updating existing capacities is only possible if the role names in your spreadsheet exactly match the role names in Meisterplan. Roles that do not exist in Meisterplan cannot be created by the import.
Identical Names
Please note that, while Meisterplan generally supports having multiple roles with the same name, updating them through the Quick Import is not possible.
Here are some examples of when capacities can be imported or updated:
Example |
Data in Spreadsheets |
Existing Data in Meisterplan |
What Will Happen in Meisterplan |
Case 1 |
“Consultant – Junior” |
- |
Meisterplan will neither update nor import this role capacity, because this role doesn’t exist in Meisterplan. |
Case 2 |
“Consultant – Junior” |
“Consultant – Junior”; “Consultant – Junior” |
Meisterplan will neither update nor import this role capacity, because there are two roles with the same name in Meisterplan. |
Case 3 |
“Consultant – Junior” |
“Consultant – Junior” |
Capacity for “Consultant – Junior” will be added or updated in Meisterplan. |
Updating Existing Capacity Segments
If there is a capacity for the same role during the same time period in Meisterplan, the new capacity from the spreadsheet will overwrite the existing one. However, only the capacity period listed in the spreadsheet will be updated. Existing capacities outside this time period will remain unchanged.
Example:
The capacity of " Consultant – Junior" was only updated for the time period specified in the table, and the the capacity period before and after remains unchanged.
