Importing Allocations by Phases

Question: (How) Can I import allocations by project phase?

Answer: There is no import for adding or updating allocations by project phase. However, there is a way to achieve the required result.

Summary:

A project phase begins one day after the previous milestone (i.e., after the previous phase), and it ends with the milestone that concludes the phase.

Using these start and finish dates when adding or importing allocations will create phase-specific allocations. In the Allocation List Quick Import, for example, you can specify the start and finish dates for each allocation. All you need for the import spreadsheet is the phases' start and finish dates to create the right allocation segments.

Step-by-Step Instructions

1. Import your projects using the Projects Quick Import.
2. Import the projects' milestones using the Milestones Quick Import.
3. Create a spreadsheet with the following columns:
   • project key
   • resource/team key or role name
   • start date
   • finish date
   • allocation value
4. In the spreadsheet, add a separate row for each phase per project and per resource.
5. Prepare the start and finish dates of each phase:
   1. The milestone date equals the finish date of a phase. 
   2. To calculate the start date of each phase, take the date of the previous milestone and add one day (e.g., using an Excel formula) - or use the start date of the project if it is the first phase.
      

6. Import the spreadsheet using the Allocation List Quick Import.
