Improved Reports ManagementAll Editions
We are excited to inform you that we have redesigned the Reports view! You can easily manage reports in a new, clear overview, like in the Project List or the Team Planner. This improvement makes it simpler to copy and share reports. Additionally, you can configure access rights for reports per user group.
When you would like to create a new report, you can either do so on the overview page, or while viewing a different report via the drop down menu. There, click Add New Report.
There, you can select a name and the access rights per user and/or user group.
Learn more about integrated pivot reports in the article Integrated Pivot Reports - Overview and Templates.
The old scenario comparison report from the basis of a PDF will stay available for some time, and will become a fixed entry in the reports overview. We recommend instead to use scenario comparison mode in combination with pivot reports in order to analyze specific values.
What Has Changed
All existing reports have been changed to the new view. All users with access rights will continue to have access to these reports.
All users with the option All Reports will automatically be given access to existing reports so that they continue to have access to all reports.
It is no longer possible to mark a report as favorite. Instead, you can quickly find the desired report using the search field.
Changes to User Rights
The user right Manage Reports will be removed from all user groups. Instead, the right Manage Custom Views and Reports now also applies to reports, regardless of what reporting right the user previously had. Learn more about the rights in the table below:
Function | Private | Shared | All |
Add and delete own reports | X | X | X |
Share their own reports | X | X
Open reports shared with the user | X | X | X |
Delete and edit reports shared with the user | X | X
Share reports that are shared with the user | X | X
Open, edit, delete and share all shared reports | X |
All other user rights (like Access Actuals, for example) will still be effective.
So that the correct people continue to have access to reports, we recommend the following:
- Check which user groups should not be able to access reports and remove their access to the Reports view via customizable navigation.
- We recommend to assign access to the correct user groups to each report, and to remove single users. This is a great way to manage access to reports, rights and user groups centrally with user groups. Additionally, new users will always have access to the correct reports through the user groups they are assigned to.
