Task Insights in the Information Panel
The ClickUp data displayed in the Information Panel is global and will be displayed in all scenarios.
Click on the tool name in the top right to open the project in ClickUp. In the toolbar of the Information Panel, you can open the tool link, refresh data, and unlink the project from ClickUp. This will not remove the ClickUp link itself nor the ClickUp connection with other Meisterplan projects.
Allocation Comparison with Meisterplan
This section compares the project-specific ClickUp effort with the allocations in Meisterplan. When the section is collapsed, you can see how many more, or fewer, days are planned in ClickUp, and how many days are without a role or resource match in Meisterplan. When you expand the rows, you can see the detailed differences per role and resource.
For this to work, the people assigned to a task in ClickUp must be matched with the respective roles or resources in Meisterplan. Missing links are listed in the last row.
Example: In the screenshot above, Fabio Bianchi and Lao Wang are planned for more days in ClickUp than in Meisterplan. Depending on the size and current status of your projects, you can either keep this buffer in Meisterplan or adjust your plans directly in Meisterplan so that capacity is freed up for other projects.
Teresa Vuong, however, is planned for a larger amount of effort in ClickUp than in Meisterplan. If this is unexpected, you now have the opportunity to speak directly to them. If you, regardless, have to increase the allocated capacity in Meisterplan, this can affect the planning of other projects.
Christine Ryu, on the other hand, is scheduled in Meisterplan but not in ClickUp. If ClickUp is correct and she is not required on this project, she will have more time available for other projects. Or she may have been overlooked in ClickUp and still needs to be scheduled there.
Adapt Allocations & Schedule
When you click the Adapt Allocations & Schedule button, the allocations of all resources that deviate from the effort in ClickUp will be adjusted to match the ClickUp effort.
Allocations:
- Tasks from ClickUp are imported into Meisterplan as flexible allocation segments per resource.
- These segments can be viewed in the Portfolio Designer with the Flexible allocation mode.
- The start and finish dates of the flexible segments correspond to the start and finish dates of the respective tasks.
- Overlapping segments are automatically summed up.
- Partially overlapping segments are split into multiple segments to ensure overlapping periods are aggregated correctly.
- If a resource is assigned to a project multiple times with different project roles, the ClickUp effort is distributed evenly across all allocations.
Resources:
- Assignees from ClickUp that are not yet allocated to the project in Meisterplan will be added to the project. This is only possible if they can be matched to their counterpart in the Resource Pool based on their email address.
- If no match can be found, the corresponding tasks will not be imported.
If resources, teams, or roles are assigned in Meisterplan, these assignments are not changed when allocations are adapted.
Start and finish dates:
- Start and finish dates are extended if tasks fall outside the project’s current timeframe.
- Start and finish dates are shortened if the period contains no allocations or only allocations with a value of 0. If there is an allocation greater than 0, its finish date becomes the project’s finish date. In other words, the shortest possible project duration is selected without deleting any allocations.
Incomplete Tasks:
- Tasks without an assignee in ClickUp are not imported because they cannot be matched to a resource.
- Tasks without dates are added before the finish date of the project:
- if there is a gap between the project finish date and the end of the last task, they are placed within that gap
- if there is no gap, the project finish date is extended by one month and the tasks are added there.
- Tasks without effort are imported with an allocation of 0.
The button is not displayed when:
- there is no deviation between the allocations in Meisterplan and the effort in ClickUp.
- the user does not have one or more of the following user rights:
- Edit Allocations
- Edit rights for the scenario or the Plan of Record
- Edit rights for the project
Task Status in ClickUp
In this section, you can view the status of the individual tasks in ClickUp. You do not need access rights to ClickUp to see this information. A blue dot before the task name means it is in progress, a gray dot means that is has not been started yet; and a green dot means that is has been done.
If there are no role or resource matches in the entire project, the total effort from the ClickUp project will be compared to the total allocations in Meisterplan. As soon as a task assignee in ClickUp is matched to a Meisterplan role or resource, all tasks are sorted by role or resource. Tasks that have assignees without match are put into the last group, No Allocated Resources.
Completed
Displays all tasks that have been marked as complete in ClickUp.
Within Allocations
These tasks are in progress in ClickUp and can be completed by the finish date specified in Meisterplan. This is based on a comparison between the remaining allocations in Meisterplan and the remaining effort in ClickUp from today.
Outside Allocations
These tasks are in progress in ClickUp, but cannot be completed by the finish date specified in Meisterplan. This is based on a comparison between the remaining allocations in Meisterplan and the remaining effort in ClickUp from today. The order of tasks is determined by the order of the tasks in ClickUp.
Example: Fabio Bianchi and Lao Wang, who were mentioned in the allocation comparison section, also appear in this section. Here, all of the tasks that cannot be completed with the planned allocation in Meisterplan are displayed, as well as the total effort for each task. You can decide based on the importance of these tasks if the allocations in Meisterplan should be increased, if the tasks should be planned for a different time, or if a different person could be assigned the task.
No Allocated Resources
In ClickUp, there is either no assignee, or the assignee is not linked to a role or resource in Meisterplan.
