How Does This New Feature Help Me?
- Add unique project keys to Meisterplan based on your internal IDs or project IDs from other tools.
- Use the project keys to easily identify the right projects even across different tools.
- Quickly identify the right person by using resource keys in Meisterplan that match with each resource's internal personnel number.
What Will Happen upon Release?
Project and Resource Key are mandatory fields that are used to uniquely identify projects and resources, even if they have identical names. Upon release, Meisterplan will automatically generate keys for all projects and resources in your system. The generated Project Keys will begin with “MPP-“ and Resource Keys with ”MPR-“, followed by consecutive numbering (e.g. MPP-23). Newly created projects and resources will also receive automatically generated keys.
Project Key field rights: On release, all user groups that have edit rights to at least one project field will be granted the edit right to the new Project Key field. User groups with read-only or no project field rights will be granted read-only rights to the new field.
Resource Key rights: On release, all users that have the Edit Resource Pool and Absences right will be able to edit the Resource Key field in the detail view of a resource.
Do I Need to Do Anything before the Release?
This function will be available to all Meisterplan systems after release.
Customize Project Field Rights for the Project Key
If you want to customize the rights automatically granted by the release, you can start planning which User Group should have read-only or edit rights for the Project Key. To be able to use the Quick Import for Projects for adding or updating projects, you need to have edit rights for the Project Key. For all other quick imports containing project data, the read only right is sufficient.
Do I Need to Do Anything after the Release?
If You Want to Use Quick Imports
All spreadsheets for the Quick Imports containing project or resource information, have to include a column with the project or resource keys. Projects and resources without a key will be added to the system as new projects or resources, potentially creating duplicates.
After the release you can use the New Export to Excel (Beta) function to create spreadsheets that contain keys to use for the Quick Import.
What you can do already is letting team members know that spreadsheets not containing keys must not be used after the release.
This affects the following Quick Imports:
- Quick Import for Projects
- Quick Import for Resources
- Quick Import for Allocations
- Quick Import for Actual Time Worked
- Quick Import for Milestones
- Quick Import for Financial Events
- Quick Import for Resource Absences
If You Want to Display Project and Resource Keys
You can configure different views in Meisterplan to display the project or resource keys.
The Project Key can be configured to be displayed in the following views:
- Project List: via Configure Columns
- Project settings: via Add Project Field
- Project Overview: via Configure Overview
- Board View: via Configure Cards
In the Resource Pool under Resources, you can display the Resource Key in the resource list via Configure Columns.
If You Want to Change the Automatically Generated Keys
If you want to change an automatically generated key, you can do that manually in the project details of the project or in the details view of the resource. A quicker way to do change Project Keys is by editing it directly in the project list. Simply configure the Project Key as a column and click a field to edit it:
The quickest way to change Resource Keys is by editing them in the resource list. Simply configure the Resource Key as a column and click each field to edit it:
If You Want to Use Your Own Keys
If you are already working with project or resource keys using custom or unused fields, copy them manually into the new field. It is also possible to transfer these keys to their new fields using the REST API.
It’s not possible to change the keys of existing projects or resources using the import via Excel template or a Quick Import. If you try updating existing projects or resources with new keys in either of these imports, new projects and resources will be added as duplicates.
